Minutes from Trustees Meeting

Minutes:

                                Meeting LPS Board of Trustees:  

 Monday 12.2.18 at 3pm in the head teacher’s office.

  

 

Present:  Kennedy Kariuki, (HT) Wanja-Gitura Arentz, (Secretary, LPS Board ), Ben Arentz (Technical advisor). Josphat Mbugua the successful bidder of the contract in discussion.

Absent with apologies: Diana Low, James Nding'uri, Grace Mongina.

  

Minutes  

1.  

The minutes of the last meeting (29.1.18) were accepted as read and endorsed.

2.  

The agenda of the meeting was to agree the building and payment schedule for the extension of the administrative block.

BA thanked Mbugua the successful bidder and commended him for his professional tender and the good technical drawings attached.

The contractor thanked the trustees for the award of the tender and said that he could start building on the 26th of this month. He said it would take him a maximum of 2 months to complete the whole project.

BA proposed a payment schedule as follows:

.40% of the total 1.4 million to be paid straight away.

.25% to be paid half way down the completion, that is, foundation and floors.

.25% to be paid after completion.

.The last 10% would be kept and would be paid after the building had been in use for two months. This would be for quality assurance.

4.  

The contractor suggested a different payment schedule which would allow him to buy material in bulk and also cover transport costs in one go.

His schedule was:

.70% down payment of 1.4 million.

.20% when roofed and completed.

.10% retention to be paid after two months.

This was agreed on.

5.  

The technical details of the building were discussed.

.The roof would be made of mabati and painted to blend in with the other buildings.

.Gutters would be put in place for future water collection.  

.There would be proper and adequate ceiling lighting 

.There would be 24 wall sockets to cater for the 24 desks.

.A fire escape would be put in place plus a verandah with metal poles.

Also discussed was:

.The need to send out a tender for 24 strong desks for teachers once the extension was in place. KK would give BA the details of the supplier of the last desks and BA would contact other bidders for the supply of desks and chairs.

.The need for a pump to pump Shalima water to the 3 plastic tanks on stilts. This water would be used for washing hands at the toilets.

.The repair of the broken water tank plinth.

.The removal of the broken plastic pipes and the installation of strong metal pipes.

 

AOB.

WA reported that a donor, Pravin Bowry had donated 21,000 to be used by the trustees for the school in whatever they deemed was a priority. Mr. Bowry had already been thanked and a statement of payment of the 21,000 KSH to LPS account had been sent to him.

The trustees expressed their appreciation and best wishes to Pravin Bowry.

 

The next meeting will be when the need arises.
